How a Commercial Move Runs
Walkthrough and Scope
We walk both sites, count workstations, identify specialty items and confirm access, elevator and dock constraints at each end. The quote comes from what we saw, not from a phone description.
Plan and Paperwork
We book the elevators and docks, file the certificates of insurance with both property managers, agree the labelling scheme and set the sequence. Your team gets one page telling them what to do before they leave on Friday.
Execute Out of Hours
Protection goes in first, then the move runs in the agreed sequence overnight or across the weekend, with a supervisor on site at both addresses.
Working by Monday
Workstations reassembled, IT reconnected with your provider, boxes at the right desks. We stay for the first morning where it helps, so problems get fixed while we are still there.
Types of Commercial Move We Handle
Office relocations
The core of the work. Anything from a ten-person office to a multi-floor tenancy, moving between downtown towers, midtown buildings or suburban business parks. The variables that matter are workstation count, whether the furniture is systems furniture or freestanding, and how much of the building's schedule you actually control.
Retail and hospitality
Store fit-outs and relocations almost always run overnight, because the space has to trade the next day. Fixtures, display units, stock and point-of-sale equipment each need different handling, and the shopping-centre or landlord rules on access hours are usually stricter than an office tower's.
Warehouse and light industrial
Racking, palletised stock, workbenches and equipment. These moves are volume problems and forklift-access problems more than finesse problems, and they are quoted on what is actually on the floor rather than on square footage.
Phased and departmental moves
When a business genuinely cannot stop, we move it in stages: one department or one floor per weekend, with the rest trading normally in between. It costs more in total labour than a single move and it is often the only version that works.
Professional practices
Law firms, accounting practices, clinics and agencies, where the file room and the confidentiality obligations attached to it are the sensitive part. Records move locked, in sequence, with custody tracked from origin to destination.
Downtime Is the Real Cost
Almost every business that asks us for an office moving quote compares the quotes to each other. That is the wrong comparison. A forty-person office losing one working day costs far more in salary alone than the entire difference between the cheapest and the most expensive mover on the list.
So the question worth asking a commercial mover is not what the day rate is. It is: when will my people be able to sit down and work, and what happens if the building will not let you in at the time you promised. A mover who has not asked about your elevator booking or your certificate of insurance before quoting has not planned either of those things.
Certificates of Insurance, Elevators and Docks
Nearly every commercial building in Toronto requires a certificate of insurance naming the landlord and the property manager as additional insured before a moving crew is allowed on site, and the required limits differ from building to building. Getting that wrong is the most common reason an office move is turned away at the door.
We issue certificates for both addresses as part of the booking, and we confirm the limits with each property manager rather than sending a generic certificate and hoping. Service elevators and loading docks are booked at the same time. In busy downtown towers, month-end weekend slots go weeks in advance, which is the single strongest argument for starting the conversation early even if your date is not fixed.
IT, Servers and Getting People Working Again
We move the physical equipment and we work to your IT provider's sequence, not around it. In practice that means monitors, docks, peripherals and cabling are labelled by destination desk before disconnection, server and network hardware moves when your provider says it can, and nothing gets powered down or reconnected by us unless that has been agreed in advance.
The reason Monday mornings go wrong after an office move is almost never the furniture. It is a workstation missing a dock, a cable, or a monitor arm. Labelling by desk rather than by floor is what prevents it, and it costs nothing except doing it properly on the way out.

Moving an Office Without Losing a Business Day
The cost of an office move isn't the movers. It's the hours your team can't work.
So we plan commercial jobs backwards from the moment people need to sit down and start again. For most offices that means loading after close on a Friday and finishing across the weekend, so Monday morning looks normal. For retail it usually means overnight. For anything running shifts, it's whichever window has the fewest people in the building.

What Building Management Will Want, at Both Ends
Commercial buildings run tighter than residential ones, and there are two of them on every office move. Expect to arrange, at each address:
- A certificate of insurance naming the building owner and the property manager, usually with coverage limits written into your lease
- A freight elevator booking, often restricted to before or after business hours
- Loading dock times, with a size limit on the truck that can back into it
- Security access, passes, or an escort for anyone in the building after hours
- Protection for common areas, floors, and elevator interiors
We handle the certificates and the elevator bookings with both buildings. Send us the property manager's contact at each end and it gets arranged before move day. A crew standing in a lobby waiting on paperwork is the most expensive thing on an office move.
Desks, Cables, and the Reason Monday Works
Anyone can carry a desk. The part that decides whether your team is working on Monday is the labelling.
Every workstation is tagged to a destination before anything moves, so a monitor, a chair, a pedestal, and the person who uses them end up in the same place. Furniture that has to come apart is disassembled and rebuilt rather than wrestled through a stairwell. Servers, network gear, and anything your information technology provider wants handled a particular way gets moved on their instructions, in the sequence they ask for.
